Vitality Fitness Tavistock – Terms & Conditions


Welcome to Vitality Fitness Tavistock (“VFT”). By signing up for a membership or pass plan, you agree to abide by the following terms and conditions. Please read them carefully.


1. Membership Eligibility

1.1 Membership is open to individuals aged 16 years and older who wish to use the gym independently.

1.2 Individuals aged 15 may use the gym under the Minor Membership Plan during the following hours only:
• Monday to Friday: 15:30 - 19:30 (last entry 19:00; gym vacated by 19:45)
• Saturday & Sunday: 10:00 - 18:30 (last entry 18:00; gym vacated by 18:45)

Access for minors is strictly limited to these hours. Our insurance coverage applies during staffed hours only.

Upon turning 16, members will automatically transfer to a student rolling direct debit membership.

1.3 Valid ID must be provided for student and senior memberships. VFT reserves the right to request ID verification for anyone appearing under 16.

1.4 Emergency Contact Information
All members must provide a valid emergency contact at the time of sign-up. Vitality Fitness Tavistock reserves the right to request updated contact details at any time. It is the member’s responsibility to ensure this information remains accurate and up to date at all times.


2. Personal Health and Medical Conditions

Members must ensure they are medically fit to exercise. Completion of the PAR-Q confirms personal responsibility. VFT may request a doctor’s note if necessary.


3. Membership Plans and Fees

3.1 Flexible Options

We offer pay-as-you-go, rolling direct debit, and fixed-term memberships.

3.2 Pay-As-You-Go

Non-refundable and cannot be frozen.

3.3 Rolling Direct Debit

One month’s notice required. Final payment may still apply depending on billing cycle.

3.4 Fixed 3-Month Commitment

Auto-renews unless cancelled within the 25-day window after the third payment.

3.5 Discounts

Available for students, minors, and seniors. Subject to ID verification.

3.6 Promotional Memberships

May include non-refundable sign-up fees.


3.7 Membership Freeze Policy

Eligible after required minimum term.
Maximum freeze: 3 months.
No access during freeze.
Freeze eligibility resumes after 6 months.

PAYG plans cannot be frozen.


3.8 Membership Plan Changes

10 days’ written notice required before next payment.


3.9 Payment Terms

Failed direct debit = suspended access until cleared.


4. Access and Usage

4.1 Adult members have 24/7 access. Minors do not.

4.2 Members must scan in and out using their own valid credentials.

4.3 Membership numbers, QR codes, or login details must not be shared.

4.4 Unauthorised Access
Members must not facilitate entry for any other individual. Each person must scan in using their own valid membership or pass.

Members are personally responsible for preventing tailgating or unauthorised entry using their access. Failure to prevent unauthorised entry may be treated as facilitating unauthorised access.

Unauthorised access is considered a serious breach of safeguarding and insurance conditions and may result in suspension or termination under Section 16.

4.5 Lost or Stolen Access Credentials
Members must report lost or stolen access details immediately. Failure to do so may result in liability for unauthorised access.

4.6 Unstaffed Hours
During unstaffed hours, no supervision is provided. Members use the facility entirely at their own risk. CCTV operates for safety and security. In emergencies, members must contact emergency services.

4.7 Profile Photograph Requirement
All members must upload and maintain a clear, recent headshot profile photograph on their membership account.

The photograph must:

  • Clearly show the member’s full face

  • Contain no filters or digital alterations

  • Include no other individuals

  • Not obscure the face with hats, sunglasses, or coverings (unless worn for religious or medical reasons)

This requirement is in place for health, safety, safeguarding, and security purposes due to the gym operating on a 24/7 access system.

VFT reserves the right to request a new photograph or suspend access until a compliant image is provided.


5. Induction Training

Mandatory for members aged 16 and under.


6. Safety and Familiarity

Members must follow all safety protocols and read the Safety Pack.


7. Gym Etiquette

Please refer to our Gym Etiquette page. 


8. Guest Policy

Guests must purchase a valid pass before entry.

Unauthorised access includes tailgating, sharing credentials, or bringing non-members. Breaches may result in termination under Section 16.


9. Conduct and Safety

Aggression, harassment, discrimination, or threatening behaviour will result in termination.

9.4 Behaviour Outside the Premises
Online or off-site behaviour impacting VFT safety or reputation may be treated as a breach.

9.5 Equipment Damage
Members are liable for damage caused by misuse or negligence.


10. Cancellation and Notice

Rolling memberships require one month’s notice.


11. Classes

Late cancellations or no-shows incur £5 fee.


12. Liability

VFT is not responsible for injuries or lost property.

12.3 Lockers & Personal Belongings
Items are left at member’s own risk.

12.4 Service Interruptions
No liability for maintenance, breakdowns, or circumstances beyond control.

12.5 Temporary Closure for Development
VFT may close for up to ten (10) days per calendar year for refurbishment, upgrades, or development works.

No refunds, credits, or extensions will be issued for these periods.


13. Amendments

VFT may amend terms at any time.


14. Data Protection & Privacy

VFT complies with UK GDPR. CCTV operates for safety and security.


15. Governing Law

These terms are governed under UK law.


16. Disciplinary & Breach Policy

16.1 Two-Strike Policy
First breach: formal warning.
Second breach: suspension or termination without refund.

16.2 Serious Breaches (Immediate Termination Possible)
Include:

      • Unauthorised access
      • Sharing credentials
      • Safeguarding breaches
      • Alcohol or illegal substances
      • Smoking or vaping inside
      • Aggression or harassment
      • Wilful damage
      • Behaviour placing others at risk

16.3 Suspension Pending Investigation
Membership may be suspended during investigation of alleged breaches.

16.4 Management Discretion
VFT may bypass the two-strike process where severity warrants immediate termination.

16.5 Re-Application
Rejoining after termination is not guaranteed.
